About This Privacy Notice of Recruiting Section ( “Privacy Notice”)

Our collection, use, disclosure and transmission of your personal information are subject to the Privacy Policy  of Universal Beijing Resort (“UBR”) official website ("Privacy Policy"). This Privacy Notice  explains how we collect, use, disclose and transfer the personal information that you provide to us on the recruiting section when you access the websites and/or applications (“Apps”) related to our recruiting services (including but not limited to the “Careers” subsite and “Auditions” subsite linked on the homepage of Universal Beijing Resort official website, Universal Beijing Resort official recruiting WeChat account and other linked recruiting pages, as well as other third-party websites and/or Apps related to our recruiting services, including but not limited to WeChat accounts or WeChat mini programs, etc.) or browse or use our online recruiting services (the above channels are collectively referred to as the “Recruiting Section”).

When you use recruiting services provided by the Recruiting Section (hereinafter as “Recruiting Services”), please carefully read and fully comprehend this Privacy Notice, and only use the Recruiting Services upon full acknowledgement and acceptance of this Privacy Notice. Your use of the Recruiting Services means you have fully acknowledged and accepted this Privacy Notice.

In the event you are an agent using the Recruiting Services on behalf of your client, you represent and warrant that you have the legal capacity and authority to act for and on behalf such client, and that such client has granted their permission for you to provide their information to us through the Recruiting Services, in accordance with this Privacy Notice and all policies referenced herein.Updates to this Privacy Notice.

From time to time we may update this Privacy Notice.  We will notify you by posting a revised version of this Privacy Notice online, and we may also notify you by other means. You should check the Recruiting Section periodically for updates. We may further provide the notice in a more remarkable manner (including sending the notice via email to further explicit the changes of this Privacy Notice).

The date at the top of the Privacy Notice tells you when it was last updated. Any changes to this Privacy Notice will become effective when the revised Privacy Notice is posted. If you use the Recruiting Services after the changes are posted, you have agreed the changes. If you do not agree with this Privacy Notice or any changes we make, please do not continue to use the Recruiting Services.

Information you provide to us

When you use our Recruitment Services, you may need to use the following functions according to the type of job you are applying for. When using these functions, the personal information each function may collect from you is as follows:

I.  About Search Function

When you use the search function provided by us in the Recruiting Services, we will collect the keywords you used and other information and content you browse or request when you use the Recruiting Services. Keywords alone are not usually sufficient to identify you, and will not be considered your personal information; accordingly, we can use any keywords that are not combined with personal information for any purpose. In the event your keywords are linked with personal information that is sufficient to identify you, will we treat the combination of your keywords, your personal information and any other information combined with such information as personal information subject to this Privacy Notice, and process and protect it in accordance with this Privacy Notice.

II.  About Registration Function

  1. Registration Function under “Careers” subsite of UBR official website

To further apply for positions posted on the “Careers” subsite of UBR official website, you will need to register with us.  During the registration process you will be asked to submit certain personal information about yourself which includes your full name, email address and telephone number. You agree that any telephone numbers you provide to us are either registered in your name or that you otherwise have the consent of the registrant to provide such phone number to us.   After your registration, we may send emails for the activation of your user account.

Above mentioned personal information is necessary for your use this function, you hereby expressly agree and voluntarily provide us your above personal information. If you refuse to provide it, you will not be able to apply for positions posted on the “Careers” subsite of UBR official website, but it will not affect you to view the posted positions on “Careers” subsite or apply for positions through other channels of Recruitment Section.

  1. Registration Function under “Auditions” subsite of UBR official website

To sign up for the offline domestic auditions we organized for recruiting performers, you will need to register with us on the “Auditions” subsite of UBR official website.  During the registration process you will be asked to submit below personal information about yourself.  After your registration, we may send emails to notify you about our audition arrangements.

We collect your ID numbers for the purpose of: 1) identification; 2) registration with the audition venue’s lessor to ensure that you can enter the venue; 3) purchasing relevant insurance for you to cover your offline audition.

You agree that any contact numbers you provide to us are either registered in your name or that you otherwise have the consent of the registrant to provide such contact number to us.  

Purpose: We collect your photo for the purpose of understanding your physical traits and temperament, which is an important consideration for recruiting performers and will give us a first impression of the performer position you might fit in the further audition process. 

Scope: We will not share your photo with any company, organization or individual in principal, except it is necessary for business purpose under the following circumstances: 1) sharing your photo to the service provider who’s engaged in the audition process as an audition producer to understand if any previous cooperation existed; 2) other sharing set forth below in the “Sharing Your Information” Section as necessary.

Retention Period: Your photo we collected under this function will be retained for 3 years. 

Above mentioned personal information is necessary for your use this function, you hereby expressly agree and voluntarily provide us your above personal information. If you refuse to provide it, you will not be able to sign up for offline domestic auditions we organized for recruiting performers, but it will not affect you to use the other functions under the “Auditions” subsite of UBR official website.

In addition, you can also provide us or allow us to collect from you a link of your showreel video at your option. You understand and agree that it is not mandatory for you to provide such information to us. Once we receive your showreel video, it means that you voluntarily submit it and agree to our use, storage and transfer of such information in accordance with this Privacy Notice.

III.  About Job Application Function

When you use the job application function under any Recruiting Section, you may need to submit the following personal information:

  • Your full name, gender, ID Number/Passport Number, nationality, place of household, Hukou registration, e-mail address, telephone number, emergency contact;

We collect ID numbers or passport numbers for the purpose of identification; we collect your e-mail address and telephone number to contact you. You agree that any phone numbers you provide to us are either registered in your name or that you otherwise have the consent of the registrant to provide such phone number to us.  

  • Your degree and educational background, whether worked for UBR before, whether have been dismissed by any of your employers due to misconduct and/or poor performance, status of retirement, expected salary, pending litigations or criminal records, and whether tattooed on the face, neck and hands;

We collect your information on pending litigations or criminal records to meet our company ethics and compliance policy; we collect tattoo information on face, neck and hands for the purpose of abiding by our company standard of appearance for certain positions;

  • When and where you use the Recruiting Services;
  • Your health information. To fulfil the requirements of relevant laws and regulations or the public interest, for the positions that involve occupational exposure to hazardous substances, dining and serving in a public place and etc., we may ask you to provide us with a copy of your Health Examination Record or Health Certificate.
  • To comply with our conflict of interest policy, we may collect information about names of your relatives who are working at Universal Beijing Resort or for its competitors, their family relationship with you and their positions. You agree that you have consent to provide personal information of your relatives for any such personal information you provide to us.

We may also collect the above personal information from you, or  require you to provide other personal information according to our policies or laws and regulations throughout the recruitment process, when you correspond with us (for example, we may send you emails to notify you about the activation of your user account, resetting your password, our reception of your application for certain positions and progress of such application, details for attending interview, your offer letter and/or on-boarding matters, etc.).

All the above personal information is necessary for your use this function, you hereby expressly agree and voluntarily provide us your above personal information.  If you refuse to provide it, you will not be able to apply for the posted positions on the corresponding Recruitment Section, but it will not affect you to use the other Recruitment Services.

In addition, you can also provide us or allow us to collect from you the following information at your option:

  • Your image, date of birth, marital status, alternate telephone number, current residential address;
  • Your CV, specific reason for job change, language ability, work experience, qualification details and information regarding past employment and project experiences;
  • Your work-related medical history, to determine whether you are qualified for the position you are applying for and ensure that you are able to fulfil the duties of such position.

You understand and agree that the above personal information is not mandatory for you to provide us. Once we receive your above information, it means that you voluntarily submit it and agree to our use, storage and transfer of such information in accordance with this Privacy Notice.

How we use the information we collect from you

We will use it to:

  • receive and review job applications;
  • manage and administer your account registrations and job applications;
  • process your application, including assessing your skills, qualifications and suitability for the role so that we can decide whether to take your application further or invite you to apply for other roles either at the time or in the future;
  • manage and maintain our talent database;
  • address your enquiries and requests;
  • announce new HR services and events relating to us in accordance with your communications preferences;
  • conduct market research so that we can continuously improve the services we provide to our candidates and employees;
  • understand how the Recruiting Services are used so that we can continuously improve the Recruiting Section;  
  • protect our legitimate business interests and legal rights, including use in connection with legal claims (including disclosure of such information in connection with legal process or litigation), compliance, regulatory, auditing, investigative and compliance reporting purposes; and
  • Where necessary to comply with a legal obligation, such as confirm that you are eligible to work under applicable immigration laws, purchase relevant insurance for you and etc..

Sharing your information

We may share your information with:

  • Related Companies:  UBR Parties (as defined under Terms of Service), Comcast Corporation and its affiliate, Comcast Cable, to help better tailor Recruiting Services , products, marketing, and advertising to you.
  • System service providers for Recruiting Services: When you browse the information or use the services in this Recruiting Section, certain specific sections or functions are provided by our service providers (including but not limited to Beijing Sirius Technology Co., Ltd.). The service providers will assist us in performing following business-related functions: including but not limited to collection, storage, and processing of the information involved in the Recruiting Services, and the development and maintenance of the recruitment management systems. They will access to your personal information to the extent reasonably necessary for the above purposes to help us complete the Recruiting Services.
  • Service providers that perform certain business-related functions on our behalf: including research and analytics, insurance procurement, website hosting, transaction fulfillment, processing database maintenance, fraud prevention, technology services and platforms, identity management and acquisition and conversion services.
  • De-identified Information.  We may share information about your de-identified and not re-identifiable information, with third parties so they may better personalize your experience with them and the offers they send you.
  • Other Users and Search Engines: For the purpose of recruitment, you may provide certain information including your name, photo, and other information to create an account (“Account Profile”). Some information in your Account Profile may be available publicly to our recruiting staff.  When we display your user submissions, they will be identified by information in your Account Profile. We hereby are entitled to distribute user submissions which you have chosen to publish or de-identified and not re-identifiable information after processing to third parties.
  • Law Enforcement Agencies, Regulators, Content Protection Organizations, Anti-fraud Coalitions and other groups to:
  • protect our legal rights, privacy or safety, and that of UBR Parties, our employees, agents, contractors, or other individuals;
  • protect the safety and security of visitors to the UBR Services or other properties;
  • protect against fraud or other illegal activity or for risk management purposes;
  • respond to inquiries or requests from government, regulatory, law enforcement, or public authorities;
  • permit us to pursue available remedies, commence, participate in, or defend litigation, or limit the damages that we may sustain;
  • comply with the law including any legal process; or
  • enforce applicable Terms of Service .

With regard to any companies, organizations or individuals with which we may share personal information, we will sign strict confidentiality agreement with them, under which we will require them to follow our declaration, this Privacy notice, the Privacy Policy  and any other relevant confidentiality and security measures in handling personal information.

Pre-employment screening

Our employees are part of a global family working in a fair, open and trusted environment. It is important for us to ensure that new employees joining us have a strong commitment to our shared values.

We therefore reserve the right to ask all candidates in the final stages of recruitment to undergo a pre-employment screening. Our approach to pre-employment screening is based on the principles of transparency, mutual respect and is conducted in line with all applicable regulations.

Protecting your information

We want you to feel confident about using the Recruiting Services. We use industry standard safeguard measures to maintain procedural, technical, and physical safeguards for this Recruiting Services to help protect against loss, misuse or unauthorized access, disclosure, alteration, or destruction.  We will take any reasonable and feasible measures to protect your personal information, for example, we limit access to your personal information to employees who has reasonable business needs to access it, and only retain your personal information for the shortest period necessary for the purpose of providing Recruitment Services unless otherwise stipulated by laws. These safeguards vary depending upon the sensitivity of the information we collect and store. Please be aware that no security solutions are infallible.

Your information shall be transferred to UBR, that has its headquarter in the People’s Republic of China (“PRC”). UBR may transfer your information to its Related Companies, service providers, and other third parties located outside of your country of residence, including in the PRC. This is necessary for the purposes outlined in this Privacy Notice and the Privacy Policy.  Data privacy laws vary from country to country and may not be equivalent to, or as protective as, the laws in your home country.  We take steps to ensure that reasonable safeguards are in place with aim to ensure an appropriate level of protection for your information, in accordance with applicable law. These measures include data transfer agreements. By providing us with your information, you acknowledge any such transfer, storage or use.

 

How to edit, delete or access your personal information

You may be able to access and correct certain information through the features of the Recruiting Services and/or email provided by this Recruiting Section. Our contact information is: [auditions@universalbeijing.com].  In addition, where legally required, we will provide users with access to their information, the ability to review, update, correct, and/or delete their information, change their authorization scope, deregister their accounts, and obtain a copy of their personal information.

We will take reasonable steps to verify your identity, such as requiring a password and user ID, and possibly photo ID before granting access to your information.
